Buying Spices in Bulk: A Buyer's Checklist
From defining your specification to checking the COA and packing — what to settle before your first bulk spice order.

Buying spices in bulk is straightforward when the details are agreed up front. A little preparation saves weeks of back-and-forth and avoids rejected lots.
1. Define your specification
Write down what you actually need: variety, grade, moisture, purity, foreign matter and any residue limits required by the rules that apply to your products. The clearer the specification, the more accurate the quote.
2. Ask for a sample from the actual lot
Ask for a sample from the lot that will be supplied, not a showroom sample. Test it in your own lab or an independent one if possible.
3. Check the certificate of analysis
Every lot should come with a COA showing moisture, volatile oil, foreign matter and microbiology — plus pesticide residues where your market requires them. Match the lot number on the COA with the bags.
4. Agree packing and labelling
Bag type and size, net weight, lot number, packing and best-before dates. Food-safe, clean packing matters as much as the spice itself.
5. Agree price basis, payment and delivery
Confirm whether prices include delivery, the payment terms and the delivery schedule so stock arrives when you need it.
6. Plan storage
Store spices cool, dry and away from strong odours, and use them first-in, first-out to keep colour and aroma.
